CURRENT OPENINGS:
OFFICE MANAGER / RECEPTIONIST (40 Hours per week [or split between 2 = 20 each] + duration of Festival) Responsible for overseeing the daily operations of the AMFM office. This includes maintenance of office supplies & equipment, assisting other AMFM office personnel, coordinating vendor billing, invoicing, accounts receivable, accounts payable, answering incoming phone calls and placing outgoing calls as needed, and relaying messages to appropriate personnel. The reception desk is information central and therefore requires knowledge of the festival. This person will generate and maintain a “Book of Knowledge” and keep close by in order to quickly and easily find a wide variety of questions. Will involve data entry duties and requires solid knowledge of Excel and other office or film industry related software. Will work closely with Assistant Director / CIO and all AMFM staff, volunteers, vendors, filmmakers and Festival attendees.
OFFICE IT PERSONNEL (10 hours per week + duration of Festival) Will maintain office connectivity needs and troubleshoot IT issues throughout festival. Should be available to arrive at office within 24 hours to assist in troubleshoot issues.
VENUE MANAGER (10 hours per week + duration of Festival) This is a Department Head position and requires experience organizing details and overseeing work of others. Responsible for all aspects of managing the assigned venue. Responsible for traffic flow, managing lines, determining when theatre can be opened to attendees, maintain crowd control and handling all issues and complaints. Oversees the work of the volunteers assigned to that venue and will log volunteer attendance and may need to contact replacements in case of no-show volunteers. Knowledge of the festival, venue manager duties, and the duties to be accomplished by volunteers necessary.
ASSISTANT VENUE MANAGER (10 hours per week + duration of Festival) Responsible for assisting and backing up Venue Manager in all aspects of managing the venue. See list of duties and responsibilities of Venue Manager.
BOX OFFICE MANAGER (10 hours per week + duration of Festival) This is a Department Head position and requires experience organizing details and overseeing work of others. Oversees Box Office volunteers in assisting attendees/filmgoers in last minute and on-site pass/ticket purchases via our Holdmyticket.com website & software. Responsible for assisting Volunteer Coordinator in determining volunteer needs (by event or screening) & generating schedules accordingly. Will oversee cashboxes and reconcile sales sheets, should be proficient with computers, able to multi-task and efficiently deal with a high level of stress, a high volume of demands & needs and do it with a smile.
ASSISTANT BOX OFFICE MANAGER (10 hours per week + duration of Festival) Responsible for assisting and backing up Box Office Manager in all aspects of overseeing Box Office. See list of duties and responsibilities of Box Office Manager.
TICKET TAKERS (4 hour shifts Duration of Festival) Ticket Takers are responsible for ensuring pass and ticket holders are admitted according to their priority when doors open. Collecting ticket stubs and maintaining attendance records. May also share Counters / Line Management duties.
COUNTERS / LINE MANAGEMENT (4 hour shifts Duration of Festival) Before doors to theatre open, line up the attendees or filmgoers according to priority of their passes/tickets. Communicate what’s happening inside the theatre to those in line in terms of when doors are expected to open. As each individual enters a “clicker” will be used to count each attendee to ensure we do not go over capacity. Attendee results and numbers to be reported to ticket takers for attendee report. May also share ticket taker duties.
USHERS (4 hour shifts Duration of Festival) Assist attendees/filmgoers in finding proper seating based on their needs or passes/tickets. Responsible for getting people seated in a timely fashion so we start screening on time. Ushers will serve as a guide to seats, as needed, provide directions to water fountains and rest rooms. Responsible for making sure the theatre is cleaned before and after screenings by sweeping up and taking trash to appropriate receptacles before or after screening as needed. Preparing theatre for next screening always.
PANELS & WORKSHOPS COORDINATOR (10 – 20 hours per week + duration of Festival) This is a Department Head position and requires experience organizing details and overseeing work of others. Coordinator will oversee the Panels & Workshops portion of our Festival. This position will work closely with Co-Director Rich Henrich to program our Panels & Workshops. Position will also work with VIP & Transportation Coordinators in scheduling drivers to get our panelists to and from airports and hotels based on scheduling needs and ensure smooth transitions for arrivals or departures. This information will need to be tracked in an Excel spreadsheet and available to Administration. Will oversee the AV equipment needs of each panel or workshop and work with Volunteer Coordinator to ensure assistants are in place for set up & breakdown as need or ushers, etc, and Events Grip & Lighting Manager to ensure proper equipment and lighting is set-up for each panel or workshop.
ASSISTANT PANELS & WORKSHOPS COORDINATOR (10 – 20 hours per week + duration of Festival) Responsible for assisting and backing up Panels & Workshops Coordinator in all aspects of organizing and scheduling panels and workshops. See list of duties and responsibilities of Panels & Workshops Coordinator. BAND STAGE HANDS (Duration of Festival) Will assist in all aspects of setting up and breaking down band and stage equipment, general roadie duties.
EVENTS MANAGER (20-40 hours per week + duration of Festival) This is a Department Head position and requires experience organizing details and overseeing work of others. Will work closely with the Directors and Director of Operations to oversee the festival event & parties and arrange red carpet details as appropriate. These duties will include planning and arranging any special needs, coordinating with Volunteer Coordinator and Transportation Manager for those needs for the parties. Will work with Hospitality Manager, VIP Manager, Hotels, Venues and other vendors to ensure contracts are in place and details of the events & contracts are fulfilled on both ends. Will manage Party Coordinator and Special Events Coordinator. Will also work with Photographer/ Videographer for scheduling red carpets, etc..
ASSISTANT EVENTS MANAGER (20-40 hours per week + duration of Festival) Responsible for assisting and backing up Events Manager in all aspects of organizing and scheduling all AMFM events. See list of duties and responsibilities of Volunteer Coordinator.
PARTY COORDINATOR (20-40 hours per week + duration of Festival) Will work closely with the Directors, Events Manager, and Director of Operations to oversee the festival parties and arrange red carpet details as appropriate. These duties will include planning and arranging any special needs. Coordinating with Volunteer Coordinator and Transportation Manager for those needs for the parties. Will work with Hospitality Manager, VIP Manager, Hotels, Venues and other vendors as needed to ensure contracts are in place and details of the parties & contracts are fulfilled on both ends. Will also work with Photographer/ Videographer for scheduling red carpets, etc.
ASSISTANT PARTY COORDINATOR (20-40 hours per week + duration of Festival) Responsible for assisting and backing up Party Coordinator in all aspects of organizing and scheduling AMFM parties. See list of duties and responsibilities of Party Coordinator.
AWARDS RECEPTION COORDINATOR (20-40 hours per week + duration of Festival) Will work closely with the Directors and Director of Operations to oversee the festival awards & awards reception including arranging red carpet details. These duties will include planning and arranging awards reception and all related details. Coordinating with Volunteer Coordinator and Transportation Manager for those needs for the parties. Will work with Hospitality Manager, VIP Manager, Hotels, Venues and other vendors to ensure contracts are in place and details of the awards reception maintained & contracts are fulfilled on both ends. Will also work with VIP Coordinator, and Photographer/ Videographer for scheduling red carpets, etc..
“MORE” COORDINATOR (40 hours per week + duration of Festival) Responsible for organizing and arranging all aspects of the Festival that fall under the category of “More”, including comedy and events on the Courtyard. This also includes coordinating The Comedy Film Nerds and others. This position will work closely with Co-Director Rich Henrich to program our Events Manager. Position will also work with VIP & Transportation Coordinators in scheduling drivers for getting our comedians to and from airport, hotels and events based on scheduling needs and ensure smooth transitions and arrivals. This information will need to be tracked in an Excel spreadsheet and available to Administration. Will oversee the AV equipment needs of each “More” event and work with Volunteer Coordinator to ensure proper set-up & break down assistants will be on hand.
EVENTS GRIP & LIGHTING MANAGER (10-30 hours per week + duration of Festival) This is a specialized position and requires a professional. Responsible for overseeing set up and break down of all grip & lighting needs for various events for the Festival. Will work closely with Co-Directors, Events Manager, Party Coordinator, Awards Reception Coordinator and Signage Coordinator to track events where lighting needs will exist (such as red carpet events, awards reception podium, etc.), determine appropriate equipment required, and accomplish meeting the AMFM Festival Lighting needs. The equipment needs may require having a vehicle for picking up rented equipment, or ideally this person may have access to their own equipment.
EVENTS GRIP & LIGHTING TECHS (10-20 hours per week + duration of the Festival) Preferably have experience in lighting & grip on film productions at a minimum. Will work closely with Events Grip & Lighting Manager in all aspects of setting up and breaking down grip & lighting. See duties listed under Events Grip & Lighting Manager.
DIRECTOR OF MARKETING (20-30 hours per week + duration of Festival) This is a Department Head position and requires not only marketing experience, but experience organizing details and overseeing work of others. Responsible for all aspects of creating the AMFM Media Storm required in order to generate buzz on how this Festival will be the most happening event Cathedral City has ever seen. This person will oversee all aspects of signage, social media, print media, & public relations. Will work closely with the Co-Directors, Public Relations Manger, Social Media Manager, Signage Coordinator, Volunteer Coordinator, and Film Traffic Control personnel. Will strategize and determine proper locations to distribute print media, filmmaker promo materials, and AMFM promo material distribution. This information should be tracked in order to avoid duplication or over saturation.
PUBLIC RELATIONS MANAGER (20-30 hours per week + duration of Festival) Responsible for all aspects of creating the AMFM Media Storm required in order to generate buzz on how this Festival will be the most happening event Cathedral City has ever seen. Will work closely with the Co-Directors, Director of Marketing, Social Media Manager, Signage Coordinator, and Volunteer Coordinator. Will strategize and determine proper locations to distribute media, promo materials, and promote AMFM in the best possible way. This information should be tracked in order to document.
SOCIAL MEDIA MANAGER (10-20 hours per week + duration of Festival) Responsible for maintaining and updating AMFM Facebook and Twitter accounts. Will handle all aspects of Social Media promotion, and content distribution. Will work closely with Director, Director of Marketing, and Public Relations Manager ensure updates are accomplished accurately, effectively, efficiently and regularly.

SIGNAGE COORDINATOR (10-20 hours per week + duration of Festival) Will work with the Director of Marketing and Operations Manager to manage signage for promotions and information at venues. A background in printing and graphics would be helpful. Will work with Marketing Director, street teams, Venue Managers and Venues for appropriate placement of AMFM signage.
STREET TEAM COORDINATOR (10 hours per week up to Festival) Hard Copy Media Distribution, coordinate & track locations hit by teams to ensure as little duplication as possible, but widespread coverage.
STREET TEAM VOLUNTEERS (10 hours per week up to Festival) Will be responsible for implementing the grassroots marketing efforts such as placing posters in public places and in businesses and community bulletin boards, and distributing print media at various local special events as appropriate.
FILM TRAFFIC CONTROL (20 – 30 hours per week + duration of Festival) Responsible for the coordination, tracking of information, and maintenance of all films. Receive films from filmmakers, receive promo materials provided by filmmakers and forward to marketing department (marketing department will determine best use and execute). Must maintain information on films, collect filmmaker waivers/releases and organize films per schedule and present to Mary Pickford Projectionist for screening. Will work with the Asst. Director to ensure proper acceptance forms have been submitted and received as well as proper film formats have been received by AMFM. Will prepare films for projectionist, will drop off and pick up at the end of each day. Will prepare films for shipment to other Festivals, Production, Distribution houses or to be returned to the filmmakers upon request.
ASSISTANT FILM TRAFFIC CONTROL (20 – 30 hours per week + duration of Festival) Will assist Film Traffic Control with the coordination, tracking of information, and maintenance of all films. Receive films from filmmakers, receive promo materials provided by filmmakers and forward to marketing department (marketing department will determine best use and execute). Must maintain information on films, collect filmmaker waivers/releases and organize films per schedule and present to Mary Pickford Projectionist for screening. Will work with the Asst. ASSISTANT SPONSORSHIP MANAGER (20-30 hours per week + duration of festival) Assist Sponsorship Manager in compiling information on our sponsors, tracking agreements and contracts. Data entry required. Knowledge of Excel and other office related software preferred. This position will help us ensure that all promises we have made to our sponsors get accomplished, and that all promises made to AMFM have been fulfilled.
HOSPITALITY COORDINATOR (20-40 hours per week + duration of festival) This is a Department Head position and requires experience organizing details and overseeing work of others. Responsible for arranging and coordinating all rooms for guests and maintain a database of guest contacts, arrivals & departures and will confirm all details with guests to ensure that proper information is being tracked. Will also work closely with Co-Directors and Transportation Department for scheduling of guest appearances and proper transportation arranged. Will work closely with the hotel partners and vendors to ensure guest comfort. Will coordinate flights and schedule transportation with Transportation Coordinator. Will work with Venue Managers and Event Managers.
FLIGHT / HOTEL COORDINATOR (20-40 hours per week + duration of festival) Will work closely with Hospitality Coordinator and arrange all rooms for guests and maintain a database of guest contacts, arrivals & departures and will confirm all details with guests to ensure that proper information is being tracked. Will also work closely with Co-Directors and Transportation Department for scheduling of guest appearances and proper transportation arranged. Will work closely with the hotel partners and vendors to ensure guest comfort. Will coordinate flights and schedule transportation with Transportation Coordinator. Will work with Venue Managers and Event Managers.
GIFT BAG COORDINATOR (10 – 20 hours per week + duration of festival) Works with Hospitality Department and coordinates acquiring gift bags from gift bag sponsor, various swag goodies from sponsors, and generating gift bags, organizing according to status or recipient with appropriate contents whether VIP or filmmaker, etc.. Requires organizational skills and vehicle for appropriating gift bag contents, and distributing to appropriate hotel drop off locations, or events as needed.
TRANSPORTATION COORDINATOR (10 – 20 hours per week + duration of festival) This is a Department Head position and requires experience organizing details and overseeing work of others. Will be responsible for all aspects of planning, strategizing and organizing all transportation needs of the AMFM Festival. This will include overseeing a looped route between hotels and Mary Pickford Theatre, and working closely with VIP Coordinator for scheduling and arranging pick ups and drop offs for arrivals & departures to and from airport of specific out of town guests. This person will work closely with the Assistant Director, Director of Operations, Volunteer Coordinator, Volunteers, and drivers. Will further be responsible for keeping gas in cars, vans, or busses as needed and tracking all expenditures and submitting receipts accordingly. We plan to have radios in order for drivers, manager and/ or coordinator to be in constant contact.
TRANSPORTATION MANAGER (10 – 20 hours per week + duration of Festival) Responsible for assisting and backing up Transportation Coordinator in all aspects of organizing and overseeing fulfillment of all AMFM transportation needs. See list of duties and responsibilities of Transportation Coordinator.
DRIVERS VIP pick up vs. looping general public transportation – (Duration of Festival, possibly day before or after) Will drive to and from airport as needed for arrivals and departures of guests, or may be driving the looped van or busses between hotels and Mary Pickford Theatre. If you happen to have access to a newer luxury car or SUV and would be willing to provide use of it (either with you driving or other licensed/insured AMFM volunteer) by the AMFM Festival we would be most appreciative.
POST EVENT CLEAN UP MANAGER (5-10 hours the week following Festival) This person will oversee the aftermath cleanup for the festival. This will include returning any and all equipment that we borrowed, rented or confiscated and any other needs that may exist the day or week after the Festival.
